Laserfiche and GIS integratiion

In today’s data-driven world, gas and electric utility organizations often struggle with information silos where critical documents are separated from geographic data. Laserfiche, a robust enterprise content management (ECM) system, and Esri’s ArcGIS, a comprehensive geographic platform, have bridged this gap. The integration between these two applications creates a seamless link where map features can show associated documents as attachments or links, reducing manual data entry and allowing users to interact with a user-friendly interface instead of navigating multiple platforms.

Here is an exploration of the key capabilities this integration brings to your organization

1. Interactive Maps Within Laserfiche Forms

One of the most impactful features of this integration is the ability to embed an ArcGIS map directly within Laserfiche Forms. This allows for a highly automated data entry process:

  • Automatic Field Population: When a user enters an address or selects a parcel on the embedded map, the integration can automatically fill in form fields such as parcel ID, property type, and mailing address.
  • Standardization: This automation helps maintain data standardization across all submissions and points of entry, ensuring accuracy from the start.
  • Geolocation: On mobile devices, the system can automatically populate location coordinates, which is essential for field staff submitting reports or inspections.

2. Managing Documents Directly from the Map

The integration transforms your ArcGIS interface into a portal for your document repository. This is a very popular feature that our Gas Utilities find helpful. And the way we set it up, the files are imported and automatically linked to GIS. This way, we eliminate data silos.

  • View and Access: Users can select a feature on an ArcGIS map—such as a building parcel or a cemetery plat—and immediately view associated Laserfiche documents or folders.
  • Direct Uploads: You can add files directly from the ArcGIS map interface, and they will be automatically populated within the Laserfiche repository. And a link to the document will be stored in GIS.
  • Automated Filing: When documents are uploaded via the map, Laserfiche can automatically identify metadata from the map attributes to rename and file the documents into the correct folder structure.

3. Streamlined Workflows and Records Management

Beyond simple storage, the integration triggers powerful backend automation.

  • Workflow Automation: Completing a form can trigger Laserfiche Workflow to automatically create new folders (e.g., for a specific property address) if they do not already exist.
  • Metadata Synchronization: You can sync and display specific metadata between both systems, ensuring you don’t have to manage data in two different places.
  • Automatic Retention: Information collected through the integration can be used to predetermine cutoff instructions and retention schedules, ensuring documents are managed as official records from the moment they are created.

4. Visualizing Data in Laserfiche

The integration also works in reverse, bringing GIS intelligence into the document repository. Organizations can configure custom tabs within the Laserfiche web interface or Cloud. This allows users to select a document and immediately see its associated ArcGIS map and geographic attributes on the same screen. Additionally, users can perform searches in Laserfiche to find all documents within a certain radius and display those locations on an ArcGIS map directly within the repository.

5. Advanced Analytics and the "Data Lake"

For organizations looking to go further, Laserfiche acts as a “data lake,” where structured and unstructured data reside.

  • Data Extraction: Using AI and integration tools, you can extract specific points buried in documents—like boundary descriptions or GPS coordinates—and turn them into holistic analytics within ArcGIS.
  • Visual Storytelling: By marrying Laserfiche data with ArcGIS and tools like PowerBI, organizations can move beyond static maps to create dashboards that tell a story of how data evolves over time, such as tracking infrastructure repairs or ADA compliance across a city.

Implementation and Requirements

The integration is flexible, supporting both self-hosted and cloud-based Laserfiche platforms. For self-hosted systems, Laserfiche version 10.4 or higher is required, while the ArcGIS side requires ArcGIS Server 10.8 or higher.

By connecting geographic locations with their supporting documentation, the Laserfiche and Esri integration provides a “digital twin” of your organization’s physical assets and records, breathing new life into voluminous document systems and making them truly interactive.
